Job Description and Requirements

Background:

Since 2007, IRC has worked with refugees and other vulnerable populations in Jordan. Working in coordination with the humanitarian community and the Government of Jordan, the IRC's assistance programs for Syrian refugees in Jordan include both camp-based (Zaatari, and Azraq camps) and urban and rural communities.

In December 2017, Sesame Workshop and the IRC were awarded the MacArthur Foundation’s inaugural 100&Change grant to make real progress toward solving a critical problem of our time and in December 2018 received another award from the LEGO Foundation to support refugee early education programs. With these extraordinary investments, our partnership will transform the language, early reading, math, and social-emotional skills of a generation of children ages 0-8 affected by the Syrian war. Focusing on children in Iraq, Jordan, Lebanon and Syria over the next five years, the inclusive plan combines the depth of in-person services, reaching 1.5 million children, with the breadth of mass media, reaching 9.4 million children. Job Overview/Summary:

The ECD Technical Assistant is responsible for providing administrative support to mainstream ECD operations within the Sesame Project either within its direct implemented activities or within its integration within IRC’s different programs as Women Empowerment Program (WPE) and Health. He/she is going to assist the team in the operations and trainings required to be done with the partnership.

This position will be reporting directly to the ECD Technical Manager in Amman Offices.

Major Responsibilities:

Documentation and Supplies

  • Provide direct administrative support to ECD team including copying, dissemination of documents, preparation of expense reports, etc.
  • Produce reports, collect information, compile data, and organize files as requested by the Administrative Officer.
  • Ensure office equipment is stocked with required supplies (toner, paper etc.) for the ECD team.
  • Raise Purchase Requests and Payment Requests as needed/requested, and track their progress until delivery.

Schedule, meetings, and travel

  • Maintain and update a meetings tracker for the ECD team.
  • Organize ECD team members’ staff external meetings, local and abroad conferences, and workshops, including venue logistics, travel, and transportation.
  • Book travel arrangements (flights, accommodations, and transportation) as requested by the Administrative Officer.
  • Attend meetings as requested to take notes, produce minutes, and follow up on actions as needed.
  • Organize ECD team members’ field visits.

Visitors Coordination

  • Ensure all visitors' documentation is submitted in a timely manner.
  • Ensure timely booking of visitors’ accommodation, transportation, etc.
  • Handle and maintain detailed visit schedules for all incoming visitors.
  • Maintain detailed visitor tracking log for all program sites.
  • Collaborate closely with security and relevant units for visitor logistics.
  • In coordination with the ECD team and relevant colleagues ensure that all visits have needed documents and briefing notes.
  • Whenever applicable, ensure high-level visits follow appropriate protocol.

Training Coordination

  • Ensure timely booking of venues and refreshments.
  • Follow up on invitations, participants attendance, certificate of completion, etc.
  • Ensure timely provision of all training material, printing, and supplies.
  • Ensure timely logistics support for the training as needed.

Others

  • In coordination with the Supply Chain keep track of the storage and ensure that the stock list is accurate and release of items is following the IRC rules.
  • Organize all the logistics of the ECD activities,
  • Assist the technical manager is the training workshops by conducting part of the sessions when required.
  • Monitor the quality of physical environment of the IRC ECD activity venues and maintain their maintenance on regular basis.
  • Any other tasks assigned by the supervisor.

Other Internal and/or external contacts:

Internal: HR, Finance, Security, SSU, Supply Chain staff and the different Programs in IRC (Health, WPE, …)

Job Requirements:

Education

  • Relevant university degree or other sophisticated technical qualifications.
  • Excellent commend in English is a must.

Experience

  • Approximately 2 years of professional experience in logistics or relevant field.

Skills and Abilities

  • Possession of a valid Jordanian driving license and good driving skills.
  • Excellent command of Arabic and English, both writing and speaking.
  • Able to multitask, excellent great teammate and able to work in a multinational environment.
  • Experience with Microsoft Office (Word and Excel)

Working Environment: camps and urban locations are not assessed as a high-risk environment and remains generally safe as long as the IRC security protocols are observed.
