Position: Logistics and Admin Officer - Engineering Only


Job Description:


Robust and dedicated Logistics and Administration Officer to provide support in logistics, procurement, and administration activities.


Responsibilities:


  • Planning and tracking of logistics, transportation, custom clearance and Delivery.
  • Book oversea shipments through local and global fright forwarders.
  • Coordinate with clearing agents to facilitate custom clearance.
  • Review shipping documents and ensure all requirements and local authorities approvals are in place to ensure smooth clearance.
  • Make sure all incoming deliveries are registered and processed in the Procurement / logistics database.
  • Review MR’s as received from the projects and issue RFQ to the suppliers and partners.
  • Review suppliers quotations and negotiate prices and terms.
  • Validate prices with budget and coordinate with pre-sales team to verify cost and part numbers.
  • Issue PO’s in the system and obtain management approvals.
  • Maintain records and update the tracking reports in timely manners.
  • Follow up on suppliers payments and maintain payment status report.
  • Follow up on material deliveries to the project sites and update the records and tracking report with delivery status daily basis.
  • Maintain updated HR records of all employees.
  • Process all HR and administrative requests from employees and management.
  • Support and assist Senior management for all administration requests.




Experience

⦁ 3-5 years of relevant work experience, in Logistics, Procurement and Administration or similar.

⦁ Solid Experience of logistics, custom clearance and procurement of goods.

⦁ Excellent computer skills including MS Office (Word, Excel, and PowerPoint)


Skills and abilities

⦁ Organized self-starter, able to work alone or as part of a team.

⦁ Ability to work under pressure and under difficult circumstances.

⦁ Excellent administration and record keeping skills with a commitment to accuracy and excellent attention to detail.

⦁ Strong interpersonal skills and ability to adapt as part of a small team.


Knowledge


⦁ Excellent communication skills in English and Arabic.

⦁ Very good IT skills including excel and spreadsheets.

⦁ Experience managing relationships with external stakeholders.

⦁ Experience of representing an organization externally.


Education/training

⦁ A university degree in Engineering only
