The “Water Portfolio” in Jordan is seeking for a “Junior Adminstartion Officer” on a full-time base employment as per the below job profile.

Formal Qualifications
University degree in business administration and/or translation, or recognised commercial diploma in business administration or related fields
Professional experience
- At least 3 years’ professional experience in a comparable position
Additional knowledge & competences
- Fluent written and verbal knowledge English and Arabic languages
- Certified translator
- Very good working IT knowledge, e.g. MS Office, especially Word and Excel
- Excellent communication and cooperation skills
- Experience in working with governmental/public institutions
- Outgoing, constructive, positive attitude
- Dedication/commitment, reliable
- Accuracy and high attention to details
- High organization skills
- Client and service-oriented attitude
- Able to work in a team and self-motivated, able to work efficiently under tight deadline
- Major Responsibilities
The position holder is responsible for
- providing administrative services
- daily operational performance of all administrative tasks for assigned projects
- handling all kind of translation tasks from English to Arabic and vice versa, e.g. official letters, mails, invitations, invoices
- performing tasks in compliance with GIZ’s Processes and Rules (P+R)
- filing documents in reference files and / or in DMS in line with GIZ’s filing rules
The junior professional performs her / his duties in accordance with guidelines defined by the manager.

Administrative support
The position holder
- organises, coordinates and ensures that the daily office work is going smoothly
- handles all kind of translation tasks from English to Arabic and vice versa, e.g. official letters, mails, invitations, invoices
- In accordance with GIZ regulations local procurement of materials / equipment and services and order processing up to 1,000 EUR for assigned projects
- checks invoices for payment and is responsible for the quality control of the invoice checking process (including collecting and organizing required data for this purpose)
- assists in the financial administration by handling filing, preparation of monitoring lists, photocopying and any other related matters
- follows up with the assigned projects on the monthly fund and payments list
- monitors unsettled items (receivables/ payables) registered in the bookkeeping journals
- prepares on regular basis the sales tax list and copies of invoices for each project
- keeps an updated documentation filing system according to GIZ rules and regulation and updated filing plan

Other duties/additional tasks
The position holder
- represents the interests and always acts on behalf of GIZ
- conducts other relevant tasks upon the request of direct superior and in coordination with the Team Leader Administration and Finance Management
- regularly checks relevant changes in GIZ Processes and Rules Tool (P+R) relating to field of work
