Job Description and Requirements

The “Water Portfolio” in Jordan is seeking for a “Junior Adminstartion Officer” on a full-time base employment as per the below job profile.

Job Profile

  1. Required qualifications, competences and experience

Formal Qualifications

University degree in business administration and/or translation, or recognised commercial diploma in business administration or related fields

Professional experience

  • At least 3 years’ professional experience in a comparable position

Additional knowledge & competences

  • Fluent written and verbal knowledge English and Arabic languages
  • Certified translator
  • Very good working IT knowledge, e.g. MS Office, especially Word and Excel
  • Excellent communication and cooperation skills
  • Experience in working with governmental/public institutions
  • Outgoing, constructive, positive attitude
  • Dedication/commitment, reliable
  • Accuracy and high attention to details
  • High organization skills
  • Client and service-oriented attitude
  • Able to work in a team and self-motivated, able to work efficiently under tight deadline

 

  1. Major Responsibilities

The position holder is responsible for

  • providing administrative services
  • daily operational performance of all administrative tasks for assigned projects
  • handling all kind of translation tasks from English to Arabic and vice versa, e.g. official letters, mails, invitations, invoices
  • performing tasks in compliance with GIZ’s Processes and Rules (P+R)
  • filing documents in reference files and / or in DMS in line with GIZ’s filing rules

 

The junior professional performs her / his duties in accordance with guidelines defined by the manager.

 

  1. Tasks

 

Administrative support

 

The position holder

  • organises, coordinates and ensures that the daily office work is going smoothly
  • handles all kind of translation tasks from English to Arabic and vice versa, e.g. official letters, mails, invitations, invoices
  • In accordance with GIZ regulations local procurement of materials / equipment and services and order processing up to 1,000 EUR for assigned projects
  • checks invoices for payment and is responsible for the quality control of the invoice checking process (including collecting and organizing required data for this purpose)
  • assists in the financial administration by handling filing, preparation of monitoring lists, photocopying and any other related matters
  • follows up with the assigned projects on the monthly fund and payments list
  • monitors unsettled items (receivables/ payables) registered in the bookkeeping journals
  • prepares on regular basis the sales tax list and copies of invoices for each project

 

  • keeps an updated documentation filing system according to GIZ rules and regulation and updated filing plan
  • organises and coordinates appointments
  • participates – where needed – in internal and external (team) meetings and workshops and assists in their documentation, e.g. by taking minutes of meeting

 

Event Management for the assigned projects of the GIZ Water Portfolio

 

  • supports in organisation of events/ workshops, including transportation, booking venues, catering)
  • hotel booking for workshop venues and events up to 20,000 EUR
  • Register participants for conferences, trainings etc. inside & outside Jordan and checks the registration invoices for payment

 

 

Travel Management within the GIZ Water Portfolio:

  • processes applications, visas and other necessary permits required for travelling abroad of GIZ staff and counterparts
  • helps to prepare visitor programmes, draws up travel schedules, organises transport of visitors and hotel reservations
  • prepares and organises official and information trips in close coordination with the project team leaders and the GIZ Office Amman
  • arranges flight tickets (AMA, NP, CP) according to GIZ travel regulations
  • prepares advance payments for travel and travel settlements after the trip (AMA, NP, CP) and submit them to the GIZ Office Amman for payment

Other duties/additional tasks

The position holder

  • represents the interests and always acts on behalf of GIZ
  • conducts other relevant tasks upon the request of direct superior and in coordination with the Team Leader Administration and Finance Management
  • regularly checks relevant changes in GIZ Processes and Rules Tool (P+R) relating to field of work
